Room Booking Principles

General principles

  • All bookings must be made via the online booking form, Casual Room Booking, accessible through the internet. Telephone or in-person bookings will not be accepted. 
  • A student/staff member requesting to book a teaching space will be considered the organiser of the booking. Room bookings must not be made on behalf of another student.
  • To ensure equity, limits have been placed in the system to prevent any one person from making excessive bookings.  Please contact central timetabling on [email protected] if you receive an error message that you have exceeded your limit but have reasonable grounds for requiring the additional bookings.
  • Students should not make bookings for a group of more than 15 people.  Gatherings above 15 people must go through our Events & Catering Enquiries form.
  • All bookings for external clients must be made through the Central Events Team. 
  • Out of Hours bookings and Specialty Room bookings should be made a minimum of two (2) days prior to the event.
  • Bookings cannot be made until Bond week of the current semester. 
  • All bookings in teaching spaces may be impacted by changes to classes. Teaching requirements take precedence over all casual room bookings. 
  • Rooms should only be booked for confirmed non-teaching activities and not to reserve rooms for activities that may occur. 
  • All users making a booking that requires approval will be sent acknowledgement by email within 2 working days that their request has either been approved or denied. Bookings are not valid until this confirmation has been provided.
  • If it is an urgent booking for a speciality room or out of hours request (for the same or the following day) or requires an urgent confirmation, please ring Student Assist on 07 5595 4049 after the booking has been submitted. 
  • Cancellation of bookings must be notified via the Casual Room Booking system as soon as a decision to cancel has been made. 
  • Rooms must be left according to the standard set up for that specific room. Tables, chairs, and equipment must not be removed from any teaching space. 
  • Access to exit doors must not be blocked by furniture, fittings, etc.
  • No food or drinks are to be consumed in any of the teaching rooms. 
  • All hirers/users are expected to maintain their bookable space in a clean and safe manner and to leave it that way after the event. Any charges for breakages or additional cleaning will be charged to hirers/users. 
  • The University may prohibit or halt any booking which in its opinion is objectionable, dangerous, unlawful, infringes the intellectual property rights of third parties or which is potentially detrimental to Bond University’s reputation and may close any venue accordingly. 
  • The University reserves the right to refuse any room booking request without giving reason.
